Purposes and legal bases
We process data to provide and secure Reboardly:
- provide the Miro app, uploads, AI processing, previews, and generated board results
- authenticate users with Miro OAuth and keep app sessions working
- show job history and let users reopen or delete previous jobs
- enforce the free beta quota of 30 processing requests per fixed 24-hour window
- answer support, privacy, deletion, and security requests
- detect abuse, investigate errors, and keep the service reliable
- review diagnostic material only when the user explicitly opts in
The legal bases are contract performance or pre-contractual use of the free beta service (Art. 6(1)(b) GDPR), legitimate interests in operating and securing the service (Art. 6(1)(f) GDPR), consent for optional diagnostic sharing where applicable (Art. 6(1)(a) GDPR), and legal obligations where they apply (Art. 6(1)(c) GDPR).
Storage, cookies, and tracking
The marketing website does not use marketing analytics, tracking pixels, heatmaps, or third-party embedded media. Fonts and visual assets are served by us.
The Miro app uses technically necessary session cookies, short-lived authentication tokens, and browser storage needed for login, WebSocket authentication, and app operation.
Longer only if you explicitly allow diagnostic review.
Used to keep job history readable.
Needed to reopen previous jobs and add results to Miro.
Only when explicitly shared by the user.
Kept as long as needed to handle the request and ordinary business records.
AI processing and subprocessors
Reboardly currently uses the Gemini API / Google Cloud AI services to process board images and generate editable board evidence. Uploaded images and model inputs are sent to Google for this purpose. Google states in its Vertex AI documentation that Google will not use customer data to train or fine-tune AI/ML models without prior permission or instruction. Google may process service data and may apply abuse-monitoring or caching practices depending on the applicable Google Cloud terms and service configuration.
Where Google acts as a processor for Google Cloud services, processing is governed by the applicable Google Cloud Data Processing Addendum and related Google Cloud terms.
Other service providers are Hetzner Cloud for hosting in Germany and Miro for the app platform, OAuth, and board operations. We do not use separate analytics or error-tracking providers at launch.
International transfers
Reboardly hosting is in Germany. Miro and Google may process data outside Germany or the EU/EEA according to their own infrastructure, terms, and transfer mechanisms. We do not know or promise a single fixed Google processing region for Gemini API requests.
Your controls and rights
Inside Reboardly Account you can delete:
- jobs older than 1, 2, 7, 30, or 90 days
- all jobs
- all Reboardly account data, including your account record
Depending on where you live, you may have rights to access, correct, delete, restrict, export, object to processing, withdraw consent, and complain to a data protection authority. Email hello@reboardly.com for privacy requests. We may ask for information needed to verify the account before disclosing or changing data.
If you uninstall or deauthorize the Miro app before deleting data in Reboardly, email us with "data deletion" in the subject and we will handle the request through the same deletion process.
Supervisory authority
You can lodge a complaint with a data protection supervisory authority. For the controller in Baden-Wuerttemberg, the relevant authority is Der Landesbeauftragte fuer den Datenschutz und die Informationsfreiheit Baden-Wuerttemberg (LfDI BW), baden-wuerttemberg.datenschutz.de.
Support/debug exception
You may voluntarily send screenshots, source images, generated results, or logs by email when asking for support. Please do not send sensitive information unless you are comfortable sharing it with us for support handling.
Free beta terms
Last updated: April 30, 2026
- Status
- Free beta. No payment or checkout at launch.
- Quota
- Up to 30 conversions per fixed 24-hour window.
- Age
- You must be at least 16 years old.
- Miro board
- Reboardly adds new elements only when you choose to add them.
Scope
These beta terms apply to Reboardly, a Miro app that turns whiteboard photos into editable Miro board elements. Reboardly is operated by David Weber IT-Solutions.
Diese Beta-Bedingungen gelten fuer Reboardly, eine Miro-App zur Umwandlung von Whiteboard-Fotos in bearbeitbare Miro-Elemente.
Free beta and quota
Reboardly is currently free to use. During beta, each user can make up to 30 processing requests per fixed 24-hour quota window. We may change beta availability, quota limits, features, or future pricing with reasonable notice where required.
No guarantee of perfect results
Reboardly uses automated image and AI processing. OCR, spelling suggestions, layout, connectors, tags, and generated board objects can be wrong or incomplete. You are responsible for reviewing the result before relying on it.
Your content and permissions
Only upload images and board content that you are allowed to process with Reboardly and Miro. Do not upload content that is unlawful, highly sensitive without authorization, abusive, malware-related, or violates the rights of others.
You keep ownership of your uploaded images and generated results. You grant Reboardly the limited rights needed to upload, analyze, process, preview, store, and add the generated result to Miro solely to provide and support the service.
Miro board behavior
Reboardly previews the generated result first. When you choose to add it, Reboardly adds new Miro elements. Reboardly does not intentionally modify or delete existing board elements.
Availability and support
The beta can be interrupted, slow, inaccurate, or unavailable. Support is provided by email at hello@reboardly.com, without guaranteed response or resolution times.
Deletion
You can delete old jobs, all jobs, or all account data inside the app. You can also request help at hello@reboardly.com.
Liability
Reboardly is provided as a free beta. Liability is limited to the extent permitted by applicable law. Nothing in these terms limits liability where limitation is not legally permitted, including intent, gross negligence, injury to life, body, or health, or mandatory statutory liability.
Applicable law
German law applies to these terms. Mandatory consumer-protection rules of your country of residence remain unaffected. For merchants, legal entities under public law, or special public-law funds, the place of jurisdiction is the court competent for Aulendorf, Germany, to the extent permitted by law.
Direct help during beta
For product help, deletion requests, privacy questions, or security concerns, email hello@reboardly.com.
What to include
A short support note is enough. Helpful details are:
- what you were trying to do
- what happened instead
- whether the issue happened during upload, processing, preview, or adding to Miro
- your browser and operating system, if the issue looks device-specific
Please do not send sensitive whiteboard photos by email unless you are comfortable sharing them. You can give result feedback without sharing the source image or generated result.
Data deletion and privacy requests
You can delete old jobs, all jobs, or your full Reboardly account data from the Account screen inside the app. If you cannot access the app or want help with deletion, email us and mention "data deletion" in the subject. This also applies if you already uninstalled or deauthorized the Miro app and can no longer open the Account screen.
Result quality feedback
After you add elements to Miro, Reboardly asks how the result worked. We are grateful for ratings and written feedback. Sharing source images and generated results for diagnostics is optional and explicit.
Common fixes
- Use a clear, well-lit photo where the full board is visible.
- For dense boards, try the layout mode with more spacing before adding the result.
- If Miro does not open the app, reinstall from the Add to Miro link on the home page.
- If your session expires, reconnect Reboardly from the panel and retry the action.
